AMALIO / Information

Privacy Policy

This policy explains what data Amalio collects, how we use it, and who we share it with. We’ve written it in plain language on purpose — if any part is unclear, contact us and we’ll clarify it.

What we collect

Account info: the email you created your account with, and your password, kept only in a hashed form that cannot be read back. Recording content: the audio file, the transcribed text, and any results you generate from AI tools (translation, and the custom request you write). Usage data: your monthly transcription minutes, subscription plan, and recording count. And anything you voluntarily send us through the contact page or by email (request type, message, and the email address the reply goes to), with the app version, your device's system and language when you write from the app, and our replies to you and whether they arrived; we keep a conversation until it is closed and then twelve months, and delete it. The reply reaches your email only, never the app. An AI model helps us draft the reply from your message and from the account details the reply needs: your plan and its minutes, your app version and device, and the status and length of your latest recordings — never their content; a person reviews and sends every reply. This is never done for privacy requests. Account photo: an optional picture you choose from your photo library to show beside your name in the app; it is kept in your account only, may be seen by the operations team wherever your account appears in the admin dashboard, never used to identify people or for any other purpose, and deleted when you remove it or delete your account.

How we use your data

We use your data only to run the service you asked for: turning your audio into text, running the AI tools you choose, keeping your archive, and enforcing your plan's limits. We never use your recordings or transcripts to train any AI model, and we never sell or share them for advertising.

Who we share it with

We work with a small number of processors who handle your data on our behalf, and only for that purpose: speech-to-text providers for transcription and speaker separation, AI model providers for running the AI tools you use on your transcript and for helping us draft our replies to your messages to us, a cloud hosting provider for our database, file storage, and authentication, an email provider that sends our reply to your email and receives what you write to us by email, and a provider that manages purchases through the two app stores. We don't share your data with anyone else.

Sub-processors and transfers outside your country

We rely on sub-processors to run the service and share your data with nobody else. By what they do: database and file hosting (in a data centre in Germany, inside the European Union); speech transcription (United States); AI models for the AI tools, the living memory, search, the voice conversation and drafting support replies (United States); support email; and paid-subscription management (United States), which receives your account identifier and purchase events only — not your email, your name or anything from your recordings. We will tell you who they are if you ask at the address below. None of them uses your content for anything but running our service, and none trains its models on it, under the service terms we use them on. This means your data is transferred to and processed outside your country (including outside Saudi Arabia, Egypt and the European Union when you are there); by using the service and consenting in the app you agree to this transfer.

The living memory

An optional feature, off by default, asked for separately inside the app. If you turn it on, the transcript of each recording — never the audio — is sent after transcription to the AI model provider to extract decisions, commitments, questions, ideas and the names of people mentioned, and these items are kept in your account with a pointer to the paragraph they came from and a numeric representation used for search. What is extracted is an automatic inference that can be wrong, and it trains no model. The memory works in the background with no screens: ask the chat what it knows about you and it will tell you and show its sources; delete the recording it came from, or turn the memory off and delete what it holds, from the settings. Sensitive items (health, religion, politics, personal finances) are excluded and never stored. In the voice conversation your voice goes straight from your phone to the voice model's provider and a reply comes back in a machine-generated voice, and the app tells you that you are talking to an automated assistant; we store no audio in either direction — what we keep is both sides' words, written into the conversation and marked as spoken. People mentioned in your recordings may ask us to delete what concerns them at the address below; we verify, then delete within thirty days.

Retention and deletion

We keep your audio and transcript until you delete them. Delete a recording from the archive, or delete your account through the Account and Settings control → Delete account and data. Data is removed from the live service, and Amalio does not offer recovery of a deleted account to users. Backups are separate and may retain a pre-deletion copy: the provider keeps the last seven daily backups; encrypted operational backups are pruned after thirty days when a new backup is taken, retaining the latest three until replacements exist. Backups are not used to display data or run user features. If service is restored from a backup, deletion operations are reapplied before reopening it. If you no longer have the app, see Delete your account and data and the privacy-channel status on this website.

Recording conversations with other people

If you're recording a conversation with someone else, you're responsible for getting their consent where your local law requires it — these laws vary by country. The app reminds you of this before every recording, but the decision and legal responsibility are yours as the user.

Data security

Your data is encrypted in transit between your device and our servers, and strict database-level isolation ensures no user can ever access another user’s data.

Children's privacy

Amalio is for people aged sixteen and over. We do not knowingly collect data from anyone younger, and we delete such an account when we learn of it.

Changes to this policy

We may update this policy as the service evolves. Any material change will be posted here, along with an updated "Last updated" date above.
